Life Hacking With Automation – Streamlining Daily Tasks

As part of running your business, there’s much work that needs to be completed – often repetitively – but this needn’t be boring or time consuming. Automation tools are ideal for tasks that must happen regularly such as producing weekly sales reports or scheduling social media posts.

With some best practices and the appropriate tool, you can streamline your daily tasks and free up more time for strategic decision-making.

1. Automate your to-do list

Automation can help freelancers or business owners streamline their workflow more effectively and efficiently, whether as freelancers or operators of an established enterprise. Automating tasks refers to setting software or machinery up so as to perform actions normally performed manually – freeing up time and resources so you can focus on more meaningful work.

An effective place to start automating tasks that consume much of your time is by automating mundane and time-consuming repetitive tasks that do not require significant cognitive effort, making them ideal candidates for automation. Doing this allows your team to rededicate themselves to more essential work while saving energy for more pressing priorities.

Reducing your daily to-do list to only the essential tasks is another effective way of increasing productivity and decreasing stress levels. Setting daily task limits or focusing on one topic are helpful ways of doing this; while doing this also ensures you’re not leaving out key details or steps from your to-do list.

Don’t forget to prioritize the most impactful and meaningful tasks on your to-do list, particularly tasks that fall within your “Zone of Genius,” or the intersection between what you love doing and what comes easily for you. By prioritizing such activities, you can ensure that most of your time is being dedicated towards work that matters the most to you.

Be open-minded when exploring new tools or processes. But keep in mind that automation shouldn’t add extra work to your schedule; rather, it should help streamline work processes and increase efficiency by helping manage repetitive or time-consuming tasks that consume your day.

2. Automate repetitive tasks

Enhancing productivity should be a top priority, regardless of whether it’s your goal as an entrepreneur or simply personal tasks. By having the appropriate mindset and tools in place, automating repetitive tasks to save time, streamline workflows and increase productivity is possible.

Start by identifying which tasks would benefit from automation. This can be accomplished via surveys, informal interviews or direct observation of your team. Look out for tasks that are repetitive, manual or error-prone as these tend to be easy tasks to automate; creating tasks to automatically send project updates or schedule them at regular intervals are great examples of automation possibilities.

Next, identify tasks that occupy most of your team’s time and efforts. While this can be challenging, identifying these time-sink activities is critical to realizing automation’s productivity benefits and helping your team focus on tasks which really require their expertise and attention.

Once you’ve identified potential workflow automation opportunities, it is critical that you take the time to implement these processes and train your team on them. Doing this will ensure everyone understands and feels comfortable using it; additionally, set aside some time for monitoring performance of new automations and make any necessary adjustments as required.

Imagine yourself as an artist working on canvas; automation allows software or tools to act as your virtual assistant by prepping your palette, cleaning brushes and sketching basic outlines – leaving you free to focus on adding intricate details that bring your vision alive.

3. Automate repetitive tasks in your workflow

Automating manual processes in the workplace is often tedious and time consuming, draining team members’ time and energy away from core work activities. Automating these tasks helps streamline workflows, increase productivity and ensure quality outcomes in terms of outputs.

Start by identifying any repetitive and time-consuming tasks your team routinely completes, paying close attention to how much effort, frequency and potential human error these require. Once identified, consider what tools and resources may be necessary for automating them.

Once you have automated these mundane tasks, your qualified workforce can focus on more challenging and innovative projects to increase morale, enhance team performance and expand your business. This will also increase teamwork performance as well as facilitate growth of both morale and sales for your enterprise.

Sending out client invoices, generating reports or scheduling social media posts are tedious repetitive tasks in the workplace that should be automated using an easy process automation tool.

As you choose which tasks to automate, it is essential that you stay realistic about their potential value for your business. If your team is already overburdened by daily tasks, automation may help them manage daily processes more efficiently while freeing them up for strategic projects. When starting process automation for the first time, investing in a reliable workflow management system that offers training resources, webinars and customer support may also be beneficial in making the transition seamless for staff members.

4. Automate recurring deadlines

Automating workflow can save time when there are tasks that must be completed on specific dates or at regular intervals, like following up with potential leads every week for sales representatives. Setting these recurring tasks as reminders ensure that this task gets done without fail.

To create a recurring task, click the ‘Add Task’ button or use the shortcut ‘Option + Space’ and choose the Recurring (cycle arrow) option before setting its frequency.

Recurrence options available to you include daily, weekly, monthly or yearly. When setting a yearly recurrence frequency (e.g. every two months), the system will ask for a starting month in order to ensure the task reoccurs at its ideal frequency (e.g. every 2 months). Your choice of Recurrence Type will then determine when you create your Task as well as when its due date shifts forward after its completion.

Note that tasks created via template actions cannot be used as Automation triggers; their recurrence settings only apply to new tasks created using this action and won’t retroactively apply.

Recurrences for tasks can be detected by setting their due dates as recurring or using Quick Add’s smart “recurring” feature, where its word recognition feature identifies and highlights it automatically as such. Unfortunately, multiple dates cannot be added together into one recurring date for instance every Wednesday and Friday of this week or the 28th of every month as in reality this cannot happen yet.

5. Automate communication with clients

Automating client communication can be an excellent way to streamline workflows, reduce manual processes time spent on manual processes and increase client satisfaction. But it is crucial that this use of automation be balanced by personal interactions between client representatives and clients when applicable.

Automated client communication is best used for tasks that recur frequently or the same information must be disseminated to multiple parties, such as email reminders or client onboarding flows. Automation can also be used for one-off communications like sending out welcome emails for new clients or offering special promotions to existing customers.

Billy Davis, Enterprise Customer Success – Automation and AI at Bullhorn, spoke at Engage Boston about how automation can be used to create nurturing re-engagement campaigns with warm client leads. By looking back over your past client data to identify clients who haven’t done business with your firm in some time and creating an automation to contact these clients with an invitation for them to reconnect, Billy explained.

Automation can also make the invoicing process simpler by setting up a template to automatically generate and send invoices for recurring services or subscription-based products. Furthermore, Slack bots such as Howdy can help make team communication smoother by regularly querying team members about what they’re working on or providing quick daily recaps with iDoneThis documenting daily achievements for quick morning recapping.
